Our client is seeking a Pipeline Manager to join their Operations team. This is a high-impact role responsible for managing the accuracy, flow, and integrity of their business pipeline within their CRM (Pipedrive).
The Pipeline Manager ensures that every active transaction is properly tracked, updated, and compliant with company procedures. You will communicate with clients daily—primarily via email—to request, review, and organize documentation while maintaining precise and up-to-date data in the CRM system.
This position requires exceptional attention to detail, strong communication skills, and the ability to manage a high volume of active deals while staying organized and accurate.
Responsibilities:
- Manage the company’s CRM (Pipedrive) and ensure all data is accurate, complete, and up to date
- Create new deal cards when the company signs new business, entering all required information from transaction contracts
- Track and monitor 800–1,000 active deal cards at any given time (average life cycle of ~130 days)
- Regularly analyze the pipeline to identify missing documentation, pending updates, and required next steps
- Communicate with clients (primarily via email) to request and collect documents, confirm deal statuses, and ensure compliance milestones are met
- Review incoming documentation for accuracy and completeness before updating CRM records
- Coordinate with Compliance and Operations teams to ensure smooth progression through all pipeline stages
- Identify data trends or process gaps and recommend improvements to enhance pipeline efficiency
Requirements:
- Working knowledge of commercial real estate transaction workflows
- Proficiency with CRM systems (Pipedrive or Salesforce experience is a major plus)
- Proficient with Microsoft applications
- Advanced organizational and analytical skills; able to manage hundreds of active records simultaneously
- Excellent written and verbal communication skills with client-facing professionalism
- Proven ability to maintain accuracy under pressure and meet tight deadlines
- Strong problem-solving and critical-thinking abilities, including interpreting contracts and documentation
