Schedule: Monday to Friday, 4 hours per day (flexible within Pacific business hours)
Total Weekly Hours: 20 Hours
Responsibilities:
- Manage CRM systems, including customer texting, meeting reminders, and follow-up communications
- Handle Go High Level (GHL) system maintenance and basic operations (copying existing setups; no complex configurations required)
- Manage inbox and calendar across multiple business entities
- Conduct research on insurance policies and industry information
- Prepare presentations and meeting materials
- Manage social media accounts for business purposes
- Create content and tools to support coaching business operations
- Assist with group training sessions, including managing chat links, participant signups, and logistics
- Follow up with leads who have contacted the business
- Handle Amazon KDP and marketplace-related tasks
- Provide general administrative support across multiple business lines
Requirements:
- Proven experience as an Executive or Administrative Assistant
- Strong experience with CRM systems and customer communication tools
- Familiarity with Go High Level (GHL) or willingness to learn quickly
- Excellent organizational and time management skills
- Ability to work independently and proactively solve problems
- Experience with social media management
- Strong communication skills for customer interactions
- Ability to learn new platforms and tools quickly
- Experience with calendar and inbox management
- Bilingual capabilities (English/Spanish) preferred due to Southern California market
