CRM Operations Assistant (Spanish Bilingual)

Schedule: Monday to Friday, 4 hours per day (flexible within Pacific business hours)
Total Weekly Hours: 20 Hours

 

Responsibilities:

  • Manage CRM systems, including customer texting, meeting reminders, and follow-up communications
  • Handle Go High Level (GHL) system maintenance and basic operations (copying existing setups; no complex configurations required)
  • Manage inbox and calendar across multiple business entities
  • Conduct research on insurance policies and industry information
  • Prepare presentations and meeting materials
  • Manage social media accounts for business purposes
  • Create content and tools to support coaching business operations
  • Assist with group training sessions, including managing chat links, participant signups, and logistics
  • Follow up with leads who have contacted the business
  • Handle Amazon KDP and marketplace-related tasks
  • Provide general administrative support across multiple business lines

 

Requirements:

  • Proven experience as an Executive or Administrative Assistant
  • Strong experience with CRM systems and customer communication tools
  • Familiarity with Go High Level (GHL) or willingness to learn quickly
  • Excellent organizational and time management skills
  • Ability to work independently and proactively solve problems
  • Experience with social media management
  • Strong communication skills for customer interactions
  • Ability to learn new platforms and tools quickly
  • Experience with calendar and inbox management
  • Bilingual capabilities (English/Spanish) preferred due to Southern California market
