Administrative and Conservatorship Accounting Assistant

Overview
You will support Connecticut-based fiduciary and conservatorship clients by managing financial records, maintaining data systems, preparing court-required reports, and providing professional communication support. This role requires strong analytical skills, excellent organization, and the ability to work independently while handling sensitive information.


Job Highlights
Number of Paid Hours Per Week: 20 hours per week (4 hours daily)
Schedule: Part-time | 10:00 AM – 2:00 PM Eastern Time
Work Arrangement: Work from home
Contract: Independent Contractor

Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates, and the rate depends on your performance in the application process.


Responsibilities

  • Maintain and update Excel and Google Sheets systems tracking fiduciary data across a rolling 12-month calendar

  • Create and revise summary worksheets with real-time expense totals by category

  • Accurately enter and reconcile monthly financial data across multiple client accounts

  • Prepare annual financial reports and disclosures for probate court submission

  • Manage structured client records and ledgers through an online case management platform

  • Track statutory deadlines and ensure timely completion of conservatorship filings

  • Assist with Medicaid spend-down documentation and burial trust coordination

  • Communicate professionally with probate courts, attorneys, service providers, and families

  • Record professional voicemail messages for business and client communication

  • Provide simplified and culturally sensitive explanations of fiduciary processes to ESL stakeholders

  • Support conservator duties related to insurance, benefits coordination, and compliance

  • Assist with trained phone support and outreach following onboarding

  • Answer incoming phone calls and provide professional support to the client

  • Identify patterns in expense and income categories for accurate reporting

  • Proactively identify tasks to complete during idle periods

  • Follow outlined processes, prioritize work effectively, and complete tasks with minimal supervision


Requirements

  • Advanced proficiency in Microsoft Excel and Google Sheets

  • Ability to submit samples of previously managed spreadsheets

  • Experience with online case management or document tracking systems

  • Background in accounting, bookkeeping, or fiduciary administration

  • Willingness to learn Connecticut conservatorship laws and probate court protocols

  • Strong attention to detail and accuracy in financial and legal recordkeeping

  • Ability to manage multiple client accounts independently and meet deadlines

  • High discretion and professionalism in handling sensitive information

  • Emotional intelligence and adaptability when communicating with diverse audiences

  • Organized, proactive, and solution-oriented approach to administrative tasks

  • Entrepreneurial mindset with the ability to anticipate client needs
