Job Description:
You’ll be the operational backbone supporting a dynamic immigration consulting team, where your organizational skills directly impact client success stories. This role offers the perfect blend of administrative coordination, data management, and process optimization in a meaningful industry that helps people achieve their immigration goals. You’ll work closely with registered consultants and management, handling diverse responsibilities that keep the business running smoothly while gaining exposure to professional immigration processes.
Responsibilities:
- Manage and update Monday.com project tracking for 70+ monthly immigration applications
- Verify payment accuracy and milestone billing, ensuring proper client fee structures
- Consolidate data from multiple spreadsheets and implement reporting formulas
- Track processing timelines and assign credit for team KPI monitoring
- Review documents and highlight potential issues for management attention
- Prepare HR documents including employment letters and contracts using established templates
- Monitor application status updates and maintain accurate client records
- Support both operations management and registered consultants with backend administrative needs
- Handle confidential immigration client information with discretion and professionalism
Requirements:
- Strong proficiency in Excel/Google Sheets including formula creation and data manipulation
- Experience with Monday.com or similar project management platforms
- Excellent attention to detail for financial verification and accuracy
- Ability to work independently while managing multiple concurrent tasks
- Strong written communication skills for document preparation
- Comfortable handling confidential information in professional services context
- Bonus if you have experience in legal, immigration, or regulated industry environments
- It helps if you have basic bookkeeping or financial reconciliation experience
