Job Description

You’ll combine essential bookkeeping functions with general administrative support in this versatile dual role. This position offers variety and the opportunity to become a trusted part of a family-owned business that values professional, reliable support. You’ll help maintain financial accuracy while providing crucial administrative assistance that keeps daily operations running smoothly. The role provides stability with clear growth potential as the business continues to expand and take on larger contracts.

Responsibilities:

  • Handle bookkeeping tasks using QuickBooks, Xero, and Excel for accurate financial record-keeping
  • Manage inbound calls professionally and provide receptionist services for client inquiries
  • Handle email correspondence and ensure timely, professional responses to client communications
  • Organize digital paperwork and maintain efficient filing systems for business operations
  • Follow up on invoices and handle basic accounts receivable tasks to maintain cash flow
  • Provide general administrative support for daily operations and project coordination
  • Take detailed messages and coordinate communications between team members and clients
  • Support busy period operations during major contract fulfillment (November through January)

Requirements:

  • Proficiency in QuickBooks, Xero, or similar accounting software for small business bookkeeping
  • Strong Excel skills and demonstrated numerical accuracy for financial data management
  • Excellent written and verbal communication skills for professional client interactions
  • Experience with email management and professional business correspondence
  • Basic understanding of accounts receivable processes and invoice follow-up procedures
  • Professional phone manner and receptionist experience for handling inbound calls
  • Strong organizational skills and attention to detail for managing multiple administrative tasks
  • Bonus if you have experience with Australian business practices or GST requirements
  • It helps if you’re comfortable with flexible scheduling during peak business periods
