Job Description

This is an exciting opportunity to become the operational backbone of a growing healthcare agency where your administrative expertise directly impacts people’s quality of life. As a Virtual Assistant, you’ll be at the center of all client interactions, managing the flow of leads and referrals while ensuring seamless communication between clients, case managers, and internal teams. You’ll wear multiple hats in this dynamic role, from lead conversion and client follow-up to phone reception and administrative coordination. Responsibilities

  • Manage and nurture incoming leads through strategic email and phone follow-up campaigns
  • Handle inbound calls from clients and case managers, providing professional guidance and directing them to appropriate service channels
  • Convert qualified prospects into clients by engaging in consultative conversations about available services
  • Track and organize referrals using advanced spreadsheet systems and organizational tools
  • Maintain comprehensive client records and correspondence using Microsoft Office suite
  • Coordinate seamlessly between internal team members and external stakeholders
  • Respond promptly to action emails and manage ongoing client communication workflows
  • Support cross-functional administrative operations across multiple departments
  • Contribute to the client matching process by maintaining organized databases of services and personnel

Requirements

  • Proven experience in administrative support with strong multitasking capabilities
  • Exceptional written and verbal communication skills with a professional, client-focused approach
  • Advanced proficiency in Microsoft Word, Excel, and spreadsheet management systems
  • Experience with lead management, follow-up processes, and client conversion techniques
  • Comfortable handling phone-based client interactions with confidence and empathy
  • Healthcare sector experience strongly preferred but comprehensive training provided
  • Background in sales or client relationship management beneficial
  • Ability to work independently while managing multiple priorities in a fast-paced environment
  • Strong organizational skills with attention to detail and accuracy
