Schedule: Monday to Friday, 10:00 AM to 7:00 PM (1-hour unpaid break)

This is a great opportunity to support a busy construction business involved in 8+ active projects. You’ll play a key role in keeping things organized and running smoothly—from managing schedules and paperwork to helping with international supply chains. This role starts part-time with a clear path to full-time work, offering excellent growth potential and hands-on experience in Melbourne’s booming construction sector.

 

Responsibilities

  • Coordinate emails with tradespeople, consultants, and suppliers
  • Handle invoices, track expenses, and manage payment schedules
  • Organize and schedule tradespeople across multiple sites
  • Maintain digital filing systems sorted by project
  • Set meetings and manage calendars for key stakeholders
  • Ensure compliance: contracts, accreditations, and safety inductions
  • Coordinate overseas supply chain (especially with suppliers in China)
  • Review and compare supplier quotes for price and accuracy
  • Manage receipts, invoices, and financial records
  • Support project managers by handling admin tasks so they can focus on delivery

 

Requirements

  • Good understanding of the Australian construction industry (Melbourne experience is a plus)
  • Strong organizational and analytical skills
  • Mandarin Chinese fluency is a big advantage (for supplier communication)
  • Excellent English communication skills
  • Comfortable learning new software and tools
  • Experience in fast-paced admin roles, especially across multiple projects
  • High attention to detail, especially for compliance and documentation
  • Confident coordinating with tradespeople, consultants, and international suppliers
