You’ll play a key role in keeping things organized and running smoothly—from managing schedules and paperwork to helping with international supply chains. This role starts part-time with a clear path to full-time work, offering excellent growth potential and hands-on experience in Melbourne’s booming construction sector.
Responsibilities
- Coordinate emails with tradespeople, consultants, and suppliers
- Handle invoices, track expenses, and manage payment schedules
- Organize and schedule tradespeople across multiple sites
- Maintain digital filing systems sorted by project
- Set meetings and manage calendars for key stakeholders
- Ensure compliance: contracts, accreditations, and safety inductions
- Coordinate overseas supply chain (especially with suppliers in China)
- Review and compare supplier quotes for price and accuracy
- Manage receipts, invoices, and financial records
- Support project managers by handling admin tasks so they can focus on delivery
Requirements
- Good understanding of the Australian construction industry (Melbourne experience is a plus)
- Strong organizational and analytical skills
- Mandarin Chinese fluency is a big advantage (for supplier communication)
- Excellent English communication skills
- Comfortable learning new software and tools
- Experience in fast-paced admin roles, especially across multiple projects
- High attention to detail, especially for compliance and documentation
- Confident coordinating with tradespeople, consultants, and international suppliers
