Administrative Assistant

Schedule: 8am to 12 pm New Zealand time
Total weekly hours: 20 Hours

 

This is an exciting opportunity to become the operational backbone of a dynamic property management company, where you’ll orchestrate the entire workflow from initial work orders through to job completion. You’ll be the key communication link between the business, property managers, and tenants, ensuring seamless scheduling and exceptional customer service. This role offers the perfect blend of administrative coordination, customer interaction, and process management, with the opportunity to grow alongside the business from part-time to full-time as operations expand. You’ll play a crucial role in systematizing and scaling the company’s back-end operations while contributing directly to customer satisfaction and business efficiency.

 

Responsibilities

  • Process and manage incoming work orders from initial request through to completion
  • Coordinate appointment scheduling with tenants, ensuring compliance with 24-hour notice requirements
  • Manage email communications and maintain organized, efficient correspondence systems
  • Conduct follow-up communications with tenants to ensure service satisfaction and maintain positive relationships
  • Support the job quoting process and coordinate workflow after quote acceptance
  • Schedule approved maintenance work for execution by field teams
  • Perform basic bookkeeping tasks including invoice reconciliation and financial record maintenance
  • Provide exceptional customer service support to enhance tenant and property manager relationships
  • Learn and utilize Tradify software for pricing and scheduling operations (full training provided)
  • Maintain organized records and ensure timely completion of all administrative processes

 

Requirements

  • 2-3 years of administrative assistant experience with strong organizational skills
  • Excellent computer proficiency and email management capabilities
  • Experience with appointment scheduling and coordination
  • Basic bookkeeping knowledge and experience with invoice processing
  • Strong communication skills for professional tenant and client interactions
  • Ability to work independently while maintaining attention to detail
  • Willingness to learn new software platforms (Tradify and Xero training provided)
  • Customer service orientation with focus on relationship building
  • Reliable internet connection and professional home office setup
  • Flexibility to potentially transition to full-time hours as business grows
