Receptionist

Work Schedule: Full-time, Monday-Friday 9:00am-6:00pm CST (with 1 hour unpaid break)

Job Overview
We are looking for a proactive and professional Receptionist to serve as the first point of contact for our company. This role requires someone who can manage a high volume of incoming calls and messages through RingCentral, provide excellent client service, and support front office operations. Experience with HubSpot is a plus, as the role may involve light CRM tasks.


Key Responsibilities

  • Manage and route incoming calls, voicemails, and messages using RingCentral
  • Greet and assist visitors or clients professionally (virtually or in-person)
  • Maintain and update scheduling calendars, meeting rooms, or appointment systems
  • Ensure smooth day-to-day front desk operations
  • Support administrative tasks such as data entry, email correspondence, and document handling
  • Collaborate with other departments to relay client needs or escalate issues
  • Assist with managing client records or logging communication in HubSpot (if applicable)

Requirements

  • Proven experience using RingCentral (or a similar VoIP platform)
  • Excellent spoken English with clear, confident, and professional communication
  • Strong organizational and multitasking abilities
  • Detail-oriented with a customer-first mindset
  • Comfortable using modern office tools (Google Workspace, Microsoft Office, etc.)
  • Some experience with HubSpot or other CRM platforms is a plus
  • Prior experience in a lead receptionist, front desk, or office coordinator role preferred
