Job Description
This is a unique hybrid Executive Assistant opportunity where you’ll serve as the right hand to a senior director managing a digital division. You’ll play a pivotal role in streamlining operations across two growing businesses - an established market leader and an emerging startup. This position offers exceptional growth potential as you help build efficient delegation systems, manage high-volume communications, and support strategic initiatives. You’ll work directly with leadership while coordinating with an 8-person management team, making this an ideal role for someone who thrives in fast-paced environments and wants to make a meaningful impact on business operations.
Responsibilities
- Manage and prioritize daily emails, ensuring proper delegation and workflow to appropriate team members
- Coordinate seamlessly between leadership and an 8-person direct report team to optimize communication and task distribution
- Handle comprehensive administrative support, including calendar management, scheduling, and travel arrangements for flights and accommodation
- Lead project management initiatives across multiple business ventures, ensuring deadlines and deliverables are met
- Support digital marketing efforts and conduct research projects that drive business growth
- Develop and implement systems for effective task delegation, helping leadership focus on strategic priorities
- Serve as a professional liaison with major national and international clients
- Provide operational support across both the established business and the rapidly growing startup division
Requirements
- 4+ years of proven experience in executive assistant, chief of staff, or similar high-level administrative roles
- Exceptional English communication skills with professional written and verbal abilities
- Strong organizational skills with meticulous attention to detail and the ability to manage competing priorities
- Independent work style with excellent judgment and decision-making capabilities
- Solid understanding of project management principles and digital marketing concepts
- Professional demeanor suitable for interacting with enterprise-level clients and senior stakeholders
