Job Overview
This is an exceptional opportunity for an experienced professional to take on a versatile and impactful role that combines executive assistant duties with bookkeeping responsibilities. You’ll work directly with the company owner, conducting daily virtual meetings and serving as their right-hand person for both administrative and financial tasks. You’ll be instrumental in streamlining operations, managing critical communications, and ensuring financial accuracy across diverse business segments. Responsibilities
- Conduct daily virtual calls with the company owner and business manager to receive tasks and priorities
- Manage the owner’s work and personal email inbox, including responding to emails and organizing communications
- Handle calendar management for the team using Outlook, including scheduling and coordinating appointments
- Perform bookkeeping tasks across multiple business entities, including accounts payable, accounts receivable, and bank reconciliations in Xero
- Provide general administrative support across multiple business entities
- Update Excel registers of assets and properties
- Assist with personal errands and tasks for the company owner as needed
- Support email management and correspondence for executive-level communications
Requirements

Minimum 4+ years of experience in executive assistant and/or bookkeeping roles

Proficiency in Xero accounting software for bookkeeping tasks

Strong knowledge of Microsoft Outlook and calendar management systems

Interest in and knowledge of new technology and innovation

Excellent communication skills for direct interaction with company leadership
