Job Description

This is an exciting opportunity to become the vital communication bridge between field technicians and office staff in a fast-paced service environment. You’ll work with sophisticated job booking software to ensure seamless information flow, prevent billing delays, and maintain the high standards that keep this business thriving. This role offers the perfect blend of structured daily interactions, problem-solving, and being an essential part of a team’s operational success. Responsibilities

  • Conduct daily outbound calls to field technicians during peak hours (3-8 PM NZ time) to collect essential job completion information
  • Input collected data accurately into the company’s job booking software system to ensure timely and accurate client billing
  • Serve as the primary communication link between field technicians and office administrative staff
  • Follow up proactively with technicians to ensure completion of required health and safety documentation
  • Handle administrative overflow tasks including filing, documentation, and process improvements
  • Maintain consistent daily contact schedules to prevent information delays and billing bottlenecks
  • Ensure all software parameters are properly completed for seamless billing processes

Requirements

  • 2-3 years of administrative experience with strong attention to detail
  • Excellent communication skills for building rapport with field technicians during daily interactions
  • Availability to work New Zealand business hours (3:00 PM - 8:00 PM NZ time)
  • Experience with phone systems and software platforms, with ability to learn new systems quickly
  • Detail-oriented approach to data collection and accurate information entry
  • Adaptability to learn established processes while bringing fresh ideas for improvements
  • Monday to Friday availability with potential for expanded hours as role develops
  • Self-motivated and able to work independently in a remote environment
