Reporting Line

This role reports directly to the Operations Director, while also providing support to the Managing Director (MD) as required.

Key Responsibilities

 Daily / Ongoing Responsibilities

Financial Management & Reporting

  • Manage day-to-day bookkeeping for the group’s three entities (UK, NZ, AU) using Xero.
  • Reconcile bank accounts, loan accounts, and intercompany balances.
  • Enter and manage supplier invoices promptly and accurately.
  • Run month-end processes including reconciliations, journals, accruals, and adjustments.
  • Prepare consolidated monthly management reports and financial statements.
  • Complete End of Month tasks for BAS (Australia), GST (NZ), and VAT (UK) returns, which are filed by the MD.
  • Maintain financial controls, ensuring accuracy, consistency, and compliance to accounting standards.

Inventory & Stock Management

  • Maintain accurate stock on hand records and reconcile inventory valuations in Xero.
  • Support operational teams with inventory data management, reconciliations, and reporting.

Performance Reports

  • Marketing Return on Investments
  • Gross Profit
  • Lifetime Value
  • Cost per Acquisition
  • Customer Acquisition cost
  • Campaign Profitability

Operational & Administrative Support

  • Assist in preparing and distributing financial and business reports.
  • Provide administrative, operational, and executive support to the MD and Operations Director as required.

 One-Off / Ad Hoc Optimisation Projects

Chart of Accounts & Financial Process Improvements

  • Lead periodic reviews and optimisation of the group’s chart of accounts structure for improved reporting and consistency, facilitating easy and accurate consolidation.
  • Collaborate with leadership and external advisors to implement changes and enhancements.

Operational Cost Analysis & Supplier Management

  • Review and analyse freight, logistics, and supplier expenses across the group to identify cost-saving opportunities.
  • Provide recommendations on operational efficiencies, supplier contract reviews, and account consolidations.
  • Source quotes, open new accounts, and negotiate improved terms where appropriate.

Financial Performance & Operational Efficiency Projects

  • Conduct regular reviews of operating expenses, supplier agreements, and overheads.
  • Prepare financial models, business cases, and reports to support cost reduction and process improvement initiatives.
  • Present findings and recommendations to the Operations Director and leadership team for approval and implementation.

Inventory Process & Stocktake Coordination

  • Coordinate and reconcile periodic stocktakes.
  • Support inventory data integrity projects to improve accuracy and reporting.

About You

Essential

  • CPA (or equivalent)
  • Minimum 5 years’ experience in bookkeeping, management accounting, or financial accounting roles.
  • Strong knowledge of Xero (multi-entity and multi-currency preferred).
  • Experience working with inventory and stock management processes.
  • Strong analytical skills, with experience reviewing operational costs and supplier contracts.
  • Exceptional attention to detail and accuracy.
  • Advanced Excel skills and financial data analysis capabilities.
  • Professional, proactive, and able to work autonomously and remotely.
  • Excellent communication skills, both written and verbal.

Desirable

  • Experience working within a group structure with international subsidiaries.
  • Familiarity with inventory and financial reporting tools.
  • Experience in FMCG, retail, or product-based businesses.
