Job Description
We’re seeking an experienced virtual Office Assistant to support a busy entrepreneur managing both corporate tech responsibilities and a thriving coffee shop chain. Responsibilities
- Complete and submit expense reports and quarterly financial documentation with accuracy and timeliness
- Manage email communications across multiple platforms including Slack and Discord
- Handle comprehensive calendar scheduling and management across various business operations
- Conduct thorough research tasks to support informed business decisions
- Organize and maintain digital files and documentation systems
- Assist with general office duties and paperwork organization
- Support administrative tasks for both corporate responsibilities and coffee shop operations
- Communicate effectively via email and modern messaging platforms
- Coordinate between different business functions to ensure smooth operations
Requirements
- Minimum 4 years of proven experience in administrative assistant roles in a virtual setting
- Strong proficiency in Google Workspace (Google Docs, Google Calendar, Google Drive)
- Experience with modern communication platforms like Slack and Discord
- Familiarity with project management tools such as ClickUp
- Excellent research capabilities and strong written communication skills
- Basic numerical competency for expense reporting (advanced math skills not required)
- Ability to work independently and effectively manage multiple priorities
- Outstanding organizational skills and meticulous attention to detail
- Comfortable working with remote access software and password management tools like LastPass
- Adaptable to working across different business contexts and requirements
- Self-motivated with strong time management skills
