Role: Receptionist / Virtual Assistant (Call Handling & Scheduling)

Role Overview

We are seeking a reliable Receptionist / Virtual Assistant to manage inbound calls, schedule services, and support daily administrative operations.

This role acts as the first point of contact for all incoming inquiries, ensuring professional communication, accurate scheduling, and seamless coordination with internal teams.

Schedule: Full-Time (40 hours per week) - Mon-Fri 8am-5pm Eastern time (semi-flexible start and end times, along with unpaid lunch) 


Key Responsibilities

  • Answer inbound calls promptly across multiple service lines
  • Schedule septic service appointments using Jobber following internal procedures
  • Capture detailed messages for inquiries related to other services for team follow-up
  • Conduct outbound calls to re-engage existing clients due for recurring services
  • Maintain accurate call logs, messages, and scheduling records
  • Work through historical client lists to identify follow-up opportunities
  • Coordinate communication between customers and field staff
  • Support general administrative tasks during lower call volumes

Requirements

  • Strong conversational English 
  • Previous experience in receptionist, customer service, or call-handling roles
  • Ability to manage multiple calls and prioritize effectively
  • Familiarity with Jobber or similar scheduling/field service software
  • High attention to detail when booking appointments and capturing messages
  • Ability to work independently and follow structured processes
  • Strong organizational and multitasking skills

Highly Regarded Skills & Experience

  • Experience in home services or field service businesses
  • Experience handling high call volumes in a fast-paced environment
  • Familiarity with CRM systems and scheduling tools
  • Experience with outbound customer follow-ups or reactivation campaigns
  • Ability to represent a business professionally as a front-facing contact
