The founder is based in Spain and travels frequently for conferences and business development. They're looking for a trusted bilingual assistant to take ownership of personal and light business administration, freeing up time for high-impact work and travel.

Job Description

You will become the operational backbone for a busy founder who travels constantly and needs a reliable partner to manage personal logistics, bill payments, travel coordination, and light business admin. This is a true hybrid role where you'll handle everything from Spanish-language bill payments and appointment scheduling to booking international flights and managing vendor communications. You'll work independently, anticipate needs, and keep things running smoothly across time zones while the client focuses on growing their wine investment business.

Schedule

  • Flexible during client business hours; Central European Time (Spain)

Responsibilities

  • Manage and pay household bills through Spanish-language platforms and service providers
  • Book international flights, accommodations, and conference tickets for frequent travel
  • Schedule and coordinate personal and business appointments across multiple time zones
  • Organize and maintain the client's calendar using Notion and Google Suite
  • Handle vendor communications in Spanish and English as needed
  • Manage personal inbox and prioritize correspondence
  • Provide light business administration support as time allows
  • Proactively identify and resolve logistical issues before they become problems

Must-Have Requirements

  • Professional proficiency in both English and Spanish is required to effectively perform the responsibilities of this role. 
  • Two to five years of experience as a virtual assistant, executive assistant, or personal assistant
  • Proven ability to work independently with minimal supervision
  • Strong organizational skills and attention to detail Experience with Notion and Google Suite (Gmail, Calendar, Drive)
  • Comfortable managing travel bookings and coordinating across time zones
  • Reliable internet connection and professional home office setup

Nice-to-Have

  • Requirements Bonus if you've supported clients who travel frequently for business
  • It helps if you have experience working with European time zones
  • Bonus if you're familiar with wine industry terminology or luxury goods
  • It helps if you have experience managing payment platforms and vendor relationships in Spanish
