Legal Operations Assistant

Job Overview

We are seeking a highly organized, detail-oriented, and technically proficient Legal Operations Assistant to support a fast-paced professional services firm through workflow coordination, document management, and client communications. Operating within Clio, you will independently manage administrative priorities, oversee billing support, and execute technical PDF operations such as Bates stamping and redactions. A critical component of this role involves acting as the final quality assurance gatekeeper for AI-generated content, requiring exceptional critical thinking and proofreading skills prior to leadership review.

Schedule

  • Flexible during Central Business Hours (20 work hours per week)

Responsibilities

  • Proactively manage daily administrative operations, calendars, and follow-ups within Clio or similar legal practice management software to ensure all critical deadlines are met.
  • Prepare, edit, and format professional documents, reports, and templates by leveraging standard forms, sample documents, and AI tools.
  • Manage large, complex document sets by performing technical file operations, including Bates stamping, redactions, bookmarking, and merging/splitting PDFs.
  • Act as the final line of defense for AI-generated content across multiple platforms, auditing text for factual accuracy, adherence to formatting standards, clarity, and total professionalism before leadership review.
  • Independently manage professional communications with clients, vendors, and external stakeholders regarding administrative updates, documentation requests, and follow-ups.
  • Provide operational support by managing billing entries, tracking and reconciling software subscriptions, processing invoices, and monitoring operational expenses.
  • Organize and maintain comprehensive, highly structured physical and digital files, records, and internal document tracking systems.
  • Monitor incoming digital communications, prioritizing and routing actionable tasks to appropriate internal team members to ensure seamless continuity.
  • Maintain rigorous automatic time-tracking records and provide regular, data-driven workflow and project status updates to management.

Requirements

  • Previous experience in an administrative, operations, executive assistant, project coordination, legal support, or similar high-responsibility role
  • Excellent written and verbal English communication, editing, proofreading, and document review skills
  • Experience with billing support, invoice follow-up, and administrative operations
  • Strong document management skills, including PDF editing, Bates stamping, redactions, bookmarks, and document assembly
  • Highly organized with exceptional time management skills and the ability to independently prioritize multiple tasks and deadlines
  • Technically proficient, with experience using document management systems, AI tools, and new software platforms
  • Detail-oriented, proactive, and reliable, with strong critical thinking skills and the ability to communicate professionally with clients, vendors, and stakeholders while taking ownership of outcomes and maintaining high-quality standards for all deliverables

Nice to have

  • Proficiency with Clio or similar document/case management platforms and workflow automation tools
