Executive Assistant
Job Overview
Our client is looking for a trusted partner to senior executives by managing complex schedules, coordinating meetings, handling confidential communications, and supporting day-to-day business operations. This role goes beyond traditional administrative support—you'll help improve processes, manage projects, and ensure executives can focus on high-impact initiatives. The ideal candidate is resourceful, detail-oriented, and capable of managing multiple priorities while maintaining professionalism and discretion.
Schedule: Monday - Friday, 9:00 AM - 6:00 PM Central Time, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Manage executive calendars, appointments, and meeting schedules across multiple time zones
- Coordinate internal and external meetings, including preparing agendas, meeting materials, and follow-up action items
- Screen, prioritize, and respond to emails and correspondence on behalf of executives when appropriate
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries
- Prepare presentations, reports, spreadsheets, and business documents with accuracy and attention to detail
- Assist with project coordination by tracking deadlines, deliverables, and action items across teams
- Maintain organized digital filing systems and confidential business records
- Support expense reporting, invoice processing, and basic administrative finance tasks as needed
- Conduct online research and compile information to support executive decision-making
- Coordinate company events, leadership meetings, and virtual or in-person conferences
- Communicate professionally with clients, vendors, and internal stakeholders
- Identify opportunities to improve administrative processes and operational efficiency
Requirements
- Previous experience as an Executive Assistant, Senior Administrative Assistant, or similar executive support role
- Strong proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Drive) and/or Microsoft Office Suite
- Comfortable using collaboration tools such as Slack, Microsoft Teams, Zoom, or similar platforms
- Basic to intermediate Excel or Google Sheets skills
- Bonus if you have experience supporting C-level executives
- Bonus if you have experience with project management platforms such as Asana, ClickUp, Monday.com, Trello, or similar tools
