Legal Assistant (MyCase)
Job Overview
Our client is looking for a detail-oriented and highly organized Legal Assistant to join their team. This role is essential for maintaining comprehensive tracking systems, monitoring court records, and ensuring all statutory requirements are met for active probate and guardianship matters. The ideal candidate is a self-starter who excels at managing priorities independently while handling sensitive information with utmost discretion.
Schedule: Monday - Friday, 8:00 AM - 5:00 PM Central Time, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Build and maintain comprehensive case tracking systems using spreadsheets to monitor the status and progress of all active probate and guardianship matters
- Monitor online court records to verify whether orders have been signed, documents have been filed, and statutory deadlines are being met
- Prepare and update court-required checklists for guardianship and probate cases, ensuring all statutory requirements are satisfied before matters are set for hearing
- Follow up with clients on outstanding items such as unsigned accountings, missing bank statements, and other required documentation
- Enter attorney and staff time into MyCase billing software and assist with tracking court-approved fee requests
- Reformat and prepare legal document templates for new cases, including applications, motions, and proposed court orders
- Compile and distribute weekly task lists outlining pending action items, upcoming deadlines, and case status updates for the attorney and in-house assistant
- Maintain daily, weekly, and monthly task workflows to ensure consistent case progression across the firm's entire caseload
- Develop streamlined, easy-to-reference checklists that allow any team member to quickly assess where a case stands at any given time
- Track and report on fee approval submissions and their court approval status separately from general case tracking
- Communicate with clients via email, phone, or messaging platforms such as WhatsApp as directed by the attorney
Requirements
- Exceptional organizational skills with a demonstrated ability to create and maintain tracking systems across multiple concurrent matters
- High level of attention to detail with the ability to catch errors and inconsistencies in documents and records
- Strong written communication skills for client follow-ups and internal task reporting
- Proficiency in spreadsheet tools (Excel or similar) and cloud-based file management systems such as Dropbox
- Self-starter mentality with the ability to work independently and manage priorities without close supervision
- Comfortable handling sensitive and confidential information with discretion
