Construction Bookkeeper & Project Administrator

Job Overview:

This role will serve as the primary bookkeeper and office administrator, handling day-to-day financial operations and general administrative tasks. The position requires strong bookkeeping capabilities with an understanding of Australian taxation law, payroll, and superannuation requirements. This is a replacement role with a 3-4 week transition period available for training with the current team member, who has been with the company for 4 years. The workload fluctuates based on project volume, with the expectation to increase significantly in the coming months.

Client Overview:

The client is a medium-sized commercial construction company based in Melbourne, Victoria, Australia. They are an approved government contractor and ISO accredited company that manages large-scale commercial construction projects. The company runs multiple projects simultaneously, ranging from 2-3 projects during quieter periods to 5-10 projects during peak times.

Schedule:

  • Mondays to Fridays, 9:00 am to 4:00 pm (Australian Eastern Time, 35 hours per week)
  • The client is considering a part-time option (minimum of 20 hours per week), depending on workload

Responsibilities:

  • Manage accounts payable and accounts receivable through Xero accounting software.
  • Process payroll, superannuation, and long service leave in compliance with Australian tax law.
  • Verify supplier invoices and perform monthly reconciliations using the company's coding systems.
  • Perform data entry into Autodesk construction management software to maintain parallel tracking systems for ISO compliance.
  • Provide monthly budget reports and financial updates to management.
  • Handle general office administration tasks, including responding to emails and occasional phone calls.
  • Support the external accountant with requested information and assistance as needed.

Must-Have Requirements:

  • Minimum 2-5 years of experience in bookkeeping and accounting.
  • Strong proficiency with Xero accounting software.
  • Thorough understanding of Australian taxation law, payroll, superannuation, and long service leave requirements.
  • Excellent communication skills for liaising with management and external accountants.
  • Strong attention to detail for invoice verification, reconciliation, and dual-system data entry.

Nice-to-Have Requirements:

  • Experience with Autodesk construction management software.
  • Background working with construction companies or project-based businesses.
  • Familiarity with ISO compliance requirements and financial documentation standards.
  • Experience supporting government contract compliance and reporting.
