About the Role:
As the Operations & Growth Specialist, you will be a key driver in both the operational backbone and growth initiatives of our high-impact digital brand studio. You’ll maintain and optimise our CRM and tool integrations, manage calendars, emails, and bookings, drive digital marketing campaigns across platforms, track finances, and deliver data-driven insights to support strategy. Key Responsibilities:
CRM & Back-End Operations
- Maintain and manage the backend of the CRM system (such as GoHighLevel), including updating pipelines, automating workflows, integrating third-party tools and ensuring data integrity.
- Oversee calendar and email systems: schedule meetings/bookings, coordinate with internal and external stakeholders, monitor and manage inboxes and follow-ups.
- Oversee booking processes: manage booking flows, client onboarding steps, ensure seamless handoff between teams and that all client interactions are properly tracked.
Growth & Marketing
- Plan, execute and optimise digital advertising campaigns on platforms such as Facebook, Instagram, TikTok and Google Ads. Monitor performance, measure ROI and iterate to improve efficiency.
- Maintain ongoing social media marketing efforts (organic posts, community engagement) and email marketing campaigns (list segmentation, content scheduling, performance monitoring).
- Work closely with content/creative teams to align messaging, track campaign KPIs and ensure growth goals are met.
Financial Tracking & Reporting
- Record and monitor income and expenses, manage invoicing and payment processes, flag any anomalies and ensure proper documentation.
- Prepare financial summaries for weekly and monthly review: revenue, cost of advertising, return on ad spend, bookings metrics and other key financial indicators.
- Liaise with external vendors and internal finance/accounting if required to ensure smooth processing of transactions.
Data-Driven Insights & Strategic Support
- Conduct research and compile reports on bookings, ad spend, ROI, funnel conversion metrics, and other operational KPIs.
- Deliver regular dashboards and trend analyses to inform strategic decisions and campaign adjustments.
- Provide project coordination and strategic support: manage project timelines, team schedules, vendor relationships and ensure deliverables are met.
Required Skills & Qualifications
- Bachelor’s degree in Marketing, Business, Operations, Finance or a related field (or equivalent work experience).
- Proven experience (2-4 years) in a hybrid operations/marketing role, preferably within a digital agency, growth marketing team or high-growth brand environment.
- Hands-on experience with CRM tools (ideally GoHighLevel or similar), calendar/email systems, and workflow automation.
- Demonstrated ability to run and optimise paid-media campaigns: Facebook/Instagram, TikTok, Google Ads — with measurable ROI improvements.
- Strong financial literacy: ability to track income/expenses, manage invoices/payments and deliver financial summaries.
- Excellent analytical and reporting skills: comfortable working with data, creating dashboards and presenting insights to stakeholders.
- Excellent organisational and project-management skills, able to manage multiple priorities across operations, marketing and finance.
- Strong communication and collaboration: able to work proactively with internal teams, vendors and external stakeholders.
- Self-motivated, resourceful and comfortable working in a fast-moving environment with shifting priorities.
Nice-to-Haves
- Experience specifically using GoHighLevel CRM.
- Background in a creative studio, digital agency or brand-building context.
- Familiarity with spreadsheet tools (e.g., Microsoft Excel, Google Sheets) and basic financial modelling.
- Experience with social media community management and email marketing platforms (e.g., Mailchimp, Klaviyo).
- Exposure to A/B testing, funnel optimisation and conversion rate improvement.
