Bookkeeper and Admin Assistant

Monday to Friday, Flexible between 8AM to 8PM, Sun Prairie, WI

 

Overview

We are seeking a highly organized and detail-oriented Bookkeeper and Administrative Assistant to support our daily operations. This role combines accounting, administrative, and coordination responsibilities. The ideal candidate has strong experience in QuickBooks and Zoho, excellent attention to detail, and the ability to manage multiple priorities efficiently.


Key Responsibilities

Bookkeeping and Accounting:

  • Manage day-to-day bookkeeping tasks, including accounts payable, accounts receivable, and general ledger entries.
  • Reconcile bank and credit card statements regularly.
  • Maintain accurate financial records and assist in preparing monthly, quarterly, and year-end reports.

Administrative Support:

  • Manage and organize company documents, records, and files.
  • Handle scheduling, meeting coordination, and communication with clients, vendors, and internal teams.
  • Assist with data entry, CRM management, and database updates within Zoho CRM.
  • Support team projects, prepare reports, and track operational metrics.
  • Monitor emails and ensure timely responses to internal and external inquiries.
  • Assist management with administrative tasks and ensure smooth office or remote operations.

Qualifications and Skills

  • Minimum 3 years of bookkeeping and administrative experience.
  • Strong proficiency in QuickBooks (Online and/or Desktop).
  • Working knowledge of Zoho applications (Zoho Books, Zoho CRM, Zoho Projects, or Zoho People).
  • Excellent understanding of accounting principles and financial record-keeping.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace.
  • High attention to detail, accuracy, and time management skills.
  • Strong communication and organizational skills.
  • Ability to work independently with minimal supervision.
  • Experience working with international or multi-entity businesses is an advantage.
