Appointment Setter

Job Highlights:

  • Contractor Type: Independent Contractor
  • Schedule: 20+ hours per week with potential to scale responsibilities and transition to full scale cycle ownership over time; 3-hour overlap with Sidney, Australia Timezone

We are a storytelling platform and live event series that brings together women across generations to share stories, connect, and amplify voices. We run monthly live shows in cities (Sydney, Melbourne, etc.), offer membership benefits (discounted tickets, VIP seats, on-demand archive access), and foster a community of women sharing wisdom, creativity, and vulnerability.

As we scale, we’re seeking an energetic, detail-oriented Appointment Setter to join our team and build the pipeline of qualified prospects so that our Lead & Founder can focus on pitching, closing, and strategic growth.

Role Overview

As an Appointment Setter, you will play a vital role in our team’s revenue engine. Your mission is to identify, reach out, and engage potential clients/partners or storytellers, and book qualified meetings directly into the calendar of our Lead or Founder. You’ll also own the operational side of outreach — tracking metrics, managing templates, and optimizing our process flow so outreach runs efficiently and scales.

You will serve as the bridge between lead discovery and closing, ensuring our funnel is well-stocked and our outreach is smart, personalized, and persistent.

Key Responsibilities

Your day-to-day work will include:

Lead Generation & Outreach

  • Research and source potential leads via LinkedIn, Instagram, and our internal past storyteller / contacts database
  • Probe and qualify prospects (partners, sponsors, potential storytellers, community collaborators)
  • Personalize outreach messages (DMs, InMails, cold emails) to capture interest and spark conversation
  • Follow up persistently (via multiple touchpoints) to secure responses

Appointment Setting

  • Qualify those engaged leads (making sure they meet basic criteria for partnership, sponsorship, storytelling suitability, or other relevant categories)
  • Schedule meetings/consults for the Lead/Founder (or relevant team member) — getting “discovery / intro calls” on the calendar
  • Maintain calendar hygiene: avoid double bookings, send reminders, confirm attendance, handle reschedules

Data & Metrics Management

  • Track outreach metrics (e.g. number of leads contacted, response rate, meetings booked, conversion rates)
  • Update and maintain our lead tracker / CRM (or spreadsheet system) with accurate statuses, notes, next steps
  • Generate weekly (or monthly) reporting to show performance, bottlenecks, and optimization opportunities

Content, Templates & Collateral Management

  • Manage and update sales decks, proposal templates, and outreach copy libraries
  • Work with the team to refine messaging, value props, and collateral as we iterate
  • Ensure that the pitch materials are current, consistent, clean, and aligned with brand voice

Process Improvement & Collaboration

  • Identify outreach gaps or bottlenecks and suggest improvements
  • Coordinate with Founder / marketing / design to request updates to collateral, or share feedback from prospects
  • Be proactive about learning what works, A/B test messaging, track best practices, and document winning templates

Qualifications & Skills

Must-Haves

  • Prior experience (1–2 years) in outbound outreach, appointment setting, SDR / BDR, or sales development
  • Strong written communication skills — you can write crisp, compelling messages adapted to each channel
  • Highly organized, disciplined with tracking systems, spreadsheets, CRMs
  • Comfortable doing repetitive outreach with persistence
  • Good judgment in qualifying prospects (knowing which leads are ready, which are dead ends)
  • Self-motivated, able to work independently and proactively without micromanagement
  • Basic familiarity with tools like Google Sheets, CRMs (HubSpot, Pipedrive, Airtable, etc.), calendar tools, email tools, LinkedIn Sales Navigator (or willingness to learn)

Nice-To-Haves

  • Experience in events, speaking circuits, content / storytelling / arts / community organizations
  • Familiarity with social media (Instagram, LinkedIn) outreach strategies
  • Basic design or slide design skills (PowerPoint / Keynote / Canva)
  • Experience working with founders or executives in small teams

Benefits:

Independent Contractor Perks:

  • Permanent Work from Home
  • Immediate Hiring
  • Steady Freelance job

Please note that since this is a permanent work-from-home position and an “Independent Contractor” arrangement, the candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
