Medical Receptionist

Schedule: 

20 hours per week

Monday to Friday 10am to 2pm, Parafield Gardens, SA

Client Timezone: Australian Eastern Time (Victoria)

Client Overview: A growing allied health practice expanding across two Australian states, providing essential occupational therapy services with plans to add physiotherapy and podiatry. They’re in an exciting growth phase, building their practitioner network and establishing their presence in the healthcare community through professional referral partnerships.

Job Description: You’ll be the welcoming first voice clients hear when they need healthcare services, managing their journey from initial inquiry to successful booking. This role combines the satisfaction of helping people access essential health services with the opportunity to support business growth through professional outreach. You’ll work with modern healthcare technology and be part of a team that values honest communication and a positive, professional approach to client care.

Responsibilities:

  • Answer incoming calls on the 1300 number and deliver exceptional customer service to healthcare clients
  • Manage client bookings and appointments using Cliniko allied health booking software
  • Conduct professional outreach calls to GP practices, NDIS providers, and allied health businesses
  • Send personalized follow-up emails with service information to potential referral sources
  • Handle general administrative tasks including email management and paperwork organization
  • Maintain professional communication across Victoria and South Australia client base
  • Escalate complex healthcare inquiries to appropriate team members when needed
  • Follow established communication scripts and guidelines for consistent service delivery

Requirements:

  • Medical receptionist background with healthcare industry experience
  • Proficiency with CRM systems, particularly Cliniko or similar healthcare booking platforms
  • Strong English communication skills for professional phone and email interactions
  • Comfortable handling both inbound customer service and outbound business development calls
  • Experience with general administrative tasks and email management systems
  • Bonus if you have experience with Australian healthcare systems or NDIS processes
  • It helps if you’re familiar with allied health services (occupational therapy, physiotherapy, podiatry)
