Job Description
We’re seeking a dedicated Medical Office Administrator to join our psychiatry practice team in a meaningful part-time role. This position offers the perfect opportunity to make a direct impact in the mental health field while maintaining excellent work-life balance. You’ll be the welcoming face of our practice, supporting both patients and clinical staff through essential administrative functions. This role combines patient interaction, technical proficiency, and administrative expertise in a healthcare setting where your contributions directly support patient care and practice efficiency.


Responsibilities

  • Serve as the primary point of contact for patients through reception duties, phone management, and in-person interactions
  • Manage comprehensive billing processes and handle insurance-related administrative tasks
  • Facilitate new patient onboarding including intake procedures, documentation, and system setup
  • Perform essential office administration tasks to support smooth daily operations
  • Maintain accurate patient records and coordinate scheduling within practice management systems
  • Provide administrative support that enhances overall practice workflow and patient experience

Requirements

  • 1-2 years of experience in medical office administration or related healthcare administrative role
  • Proven ability with AdvancedMD practice management software (required)
  • Strong working knowledge of Google Docs and Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent communication and interpersonal skills for professional patient interactions
  • Preferred: RN credentials, medical training, or specialized medical office administration background
  • Ability to work consistently within specified part-time schedule (Monday 1-5 PM, Tuesday-Friday 9 AM-1 PM)
  • Strong organizational skills and attention to detail in a fast-paced medical environment
  • Empathy and patience when working with patients seeking mental health services
