Bookkeeping Admin Assistant

Schedule: Monday to Friday, 8:00 AM – 5:00 PM (1-hour unpaid break)
Client Timezone: Central Time (CT)
Total Weekly Hours: 40 Hours

In this full-time role, you’ll provide both administrative and bookkeeping support, working directly with the business owner to manage the entire client lifecycle. You’ll handle front-office communications and back-office financial processes, helping streamline operations and improve client experiences. This is a hands-on opportunity to make a real impact on the growth and efficiency of the business, all in a fully remote environment.

 

Responsibilities

  • Manage email correspondence and follow-ups with clients and prospects
  • Oversee the RingOver communication system for text messages and phone calls
  • Maintain and optimize Calendly for client appointments and consultations
  • Utilize TaxDome for pipeline management, tracking proposals from inquiry to acceptance
  • Create professional client proposals and manage the full proposal process
  • Set up accurate invoicing systems once proposals are accepted
  • Handle QuickBooks bookkeeping tasks and maintain financial records
  • Assist with payroll-related activities and financial data management
  • Follow up on outstanding tasks, client communications, and pending items
  • Serve as the central coordination point between team members for workflows
  • Support the three-month transition alongside the current office director to ensure seamless knowledge transfer

 

Requirements

  • Proven experience with QuickBooks and solid bookkeeping knowledge
  • Strong administrative and organizational skills with attention to detail
  • Familiarity with CRM and pipeline management systems (TaxDome preferred)
  • Excellent written and verbal communication skills
  • Experience with appointment scheduling systems, particularly Calendly
  • Ability to manage multiple communication channels (email, phone, text) effectively
  • Proficiency in proposal creation, client correspondence, and document preparation
  • Understanding of invoicing processes, financial workflows, and business operations
  • Self-motivated and able to work independently in a virtual environment
  • Strong time management and task prioritization skills
  • Professional demeanor and ability to maintain confidential client information
  • Adaptable and willing to take on additional responsibilities as the business grows
