Job Description
This is an exciting opportunity to become an integral part of a growing HVAC service company where you’ll wear multiple hats and truly own the administrative and financial operations. As the Admin Assistant & Bookkeeper, you’ll be the central hub connecting customers, field technicians, and vendors while ensuring smooth business operations. This role offers the perfect blend of structured accounting work and dynamic customer interaction, with real opportunities for growth and development. You’ll have the support of modern systems and tools, plus comprehensive training to ensure your success.
Responsibilities
- Manage daily financial operations using QuickBooks Online, including accounts payable, receivable, and general bookkeeping
- Serve as the first point of contact for customer inquiries, handling incoming calls and coordinating service scheduling with the field team
- Process and track equipment warranties through manufacturer portals, ensuring maximum value for customers
- Coordinate with city authorities for permit applications and processing
- Manage vendor relationships and handle company purchasing using authorized credit card
- Maintain the company’s social media presence on Facebook and respond to customer reviews
- Create professional presentations and materials for business networking events
- Assist with website updates and coordinate with digital service providers
- Handle document management and general office administration
- Support special projects and additional administrative tasks as needed
Requirements
Essential Qualifications:
- Proven experience with QuickBooks Online and Microsoft Office Suite
- Strong customer service background with excellent phone manner
- Professional written and verbal English communication skills
- Detail-oriented with strong organizational capabilities
- Ability to work independently and manage multiple priorities
