Project Coordinator (Construction & Systems)
Job Overview
Our client is looking for a highly organized professional to bridge the gap between clients, internal teams, and field operations. You will play a critical role in driving projects from the initial estimate through to successful execution and final payment. This role is ideal for a proactive coordinator who can handle the logistical complexities of the electrical and systems industry while maintaining excellent client relationships.
Schedule

Monday - Friday, 8:00 AM - 5:00 PM PST, with 1 hour unpaid break (40 hours per week)
Responsibilities
- Estimating & Contracts: Prepare accurate project estimates based on provided scope and requirements; draft and issue formal contracts for client review and approval.
- Proposal Follow-up & Sales Support: Follow up with clients regarding submitted proposals; address inquiries, provide clarifications, and support deal closure; perform light outbound sales activities when necessary.
- Plan Review: Review project plans and blueprints to ensure operational readiness while following established Standard Operating Procedures (SOPs).
- Project Coordination: Serve as the main point of contact for customers throughout the project lifecycle; coordinate site access, confirm job start dates, and manage change orders.
- Scheduling & Operations Support: Coordinate installation schedules and troubleshooting service calls; work closely with the administrative team to ensure accurate calendar management.
- Technical Setup: Perform radio programming and related technical setup following company SOPs.
- Inspections & Compliance: Coordinate required inspections with relevant authorities and ensure completion compliance.
- Accounts Receivable: Conduct outbound calls to follow up on outstanding invoices and support payment collection efforts.
- Account Management: Act as the primary point of contact for existing clients; maintain strong ongoing relationships and ensure client satisfaction.
Requirements
- Core Skills & Competencies: Strong ability to follow Standard Operating Procedures (SOPs) accurately; excellent verbal and written communication skills.
- Organizational Mastery: Strong organizational skills with the ability to manage multiple projects simultaneously and manage competing priorities.
- Versatility: Comfortable handling both client-facing coordination and sensitive payment follow-ups.
- Independence: Ability to work independently in a remote environment while staying aligned with project deadlines.
Qualifications
- Experience in construction, preferably within electrical trades or related technical industries, is preferred.
- Background in project coordination, sales support, or account management roles.
- Familiarity with scheduling, estimating, or construction workflow processes.
