Job Overview
This is a foundational full-time virtual assistant role supporting daily operations for a growing healthcare practice. The position combines healthcare reception, intake coordination, scheduling management, and administrative support. The ideal candidate will be proactive, growth-oriented, and comfortable working in a startup environment with evolving responsibilities.
Client Overview
The client operates a respite group home healthcare company currently in the startup and growth stage. This is the client's second healthcare venture, built on over 15 years of registered nursing experience.
Schedule
- Full-time, Monday to Friday, 8:00 AM to 5:00 PM (Canada MST - client is based in Canada)

Responsibilities
- Manage and maintain the client's complete calendar and schedule to ensure operational efficiency.
- Conduct client intake processes and coordinate onboarding for new patients.
- Handle billing tasks including insurance claims follow-up and government agency communication.
- Provide proactive support by identifying issues, inefficiencies, or areas requiring attention before being asked.
- Communicate professionally with clients, patients, and external stakeholders on behalf of the practice.
- Maintain organized file and email management systems.
- Adapt to changing priorities and take initiative in a fast-paced startup healthcare environment.
Requirements
- Strong customer service background with professional communication skills suitable for client-facing interactions.
- High-level administrative skills including calendar management, email coordination, and file organization.
- Previous experience in healthcare settings such as medical practices, clinics, or healthcare administration.
- Computer proficiency with ability to quickly learn new software platforms and tools.
- Proactive work style with ability to identify problems and propose solutions independently.
Qualifications
- Nice-to-Have: Familiarity with current AI tools and technology solutions for administrative efficiency.
- Nice-to-Have: Experience working in startup or rapidly growing business environments.
- Nice-to-Have: Knowledge of HIPAA compliance standards and healthcare privacy protocols.
- Nice-to-Have: Background in respite care, group home settings, or similar healthcare service models.

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
