Overview
A dynamic investment firm in startup mode is building its sales operations infrastructure from the ground up. This 5-person founding team evaluates high-stakes investment opportunities through close relationships with investment bankers, lawyers, and fund managers. As they enter a rapid growth phase with multiple daily stakeholder meetings, they need a strategic systems expert to design and manage a sophisticated CRM and deal pipeline infrastructure.

Job Highlights
Number of Paid Hours Per Week: 40 hours
Schedule: Monday to Friday, 9:00 AM – 6:00 PM (with 1 hour unpaid break)

Responsibilities

  • Design and implement sophisticated HubSpot workflows to manage investment deal flow and relationship tracking
  • Maintain pristine CRM database integrity to prevent costly outreach errors in a high-stakes investment environment
  • Prepare comprehensive meeting notes and summaries for critical investment team calls and stakeholder meetings
  • Coordinate complex meeting scheduling and calendar management across the founding team
  • Integrate AI note-taking tools with HubSpot to automate data capture and task creation workflows
  • Create strategic contact segmentation and targeted outreach campaigns for investment professionals
  • Serve as a strategic thought partner to advise on sales process optimization and risk mitigation strategies
  • Quarterback team communications by reviewing meeting notes and creating actionable tasks and follow-ups
  • Generate detailed reports and analytics to track relationship management and deal pipeline progress
  • Build foundational sales operations infrastructure and scalable processes for a rapidly growing investment firm

Requirements

  • Extensive experience with HubSpot CRM administration and automation workflows
  • Exceptional attention to detail for high-stakes, accuracy-driven environments
  • Entrepreneurial mindset with proven ability to build processes from scratch
  • Experience advising on sales operations strategy and optimization
  • Strong communication skills and collaborative team-player mentality
  • Demonstrated dependability and consistent work performance
  • Bonus: Experience with CRM integrations, AI tool implementations, or background in investment/financial services environments

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
