Job Overview
We are seeking a detail-oriented and proactive Administrative Assistant to support a growing property management company. This role serves as the organizational backbone of the operation, handling administrative tasks, tenant communications, and basic bookkeeping. Your work will directly enable the field team to focus on tenant relationships and property management activities.

Client Overview
A growing property management company based near London managing 100+ rental properties with ambitious expansion plans. They have established operational systems and partnerships and are seeking administrative support to streamline daily operations and support the field team.

Schedule

  • Monday - Friday, 9:30 AM – 1:30 PM UK Time (London) (20 work hours per week)

Responsibilities

  • Process and enter letting agent statements into Xero accounting software with accuracy and attention to detail
  • Manage multiple tenant communication email inboxes serving 100+ tenants
  • Organize incoming emails from tenants and call center into structured worksheets with assigned owners
  • Perform basic bookkeeping tasks in Xero, including transaction allocation and categorization
  • Support back-office operations to enable field staff to focus on tenant relations and property visits
  • Maintain organized workflow systems to ensure efficient task completion and accountability
  • Handle general administrative tasks that support the property management team’s daily operations
  • Scale responsibilities as the company grows and operational needs expand

Requirements

  • Proven experience as an administrative assistant or virtual assistant
  • Familiarity with Xero accounting software or similar bookkeeping platforms
  • Strong organizational skills and attention to detail for data entry tasks
  • Experience working remotely with UK, US, or Australian companies
  • Ability to manage multiple email inboxes and workflow systems efficiently
  • Excellent written communication skills for professional tenant interactions
  • Bonus: experience in property management or real estate industry
  • Familiarity with basic bookkeeping concepts and financial data is helpful

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional fees are established based on performance in the application process.
