Grant Research & Development Assistant
Schedule:
- 20 hours per week
- Monday - Friday. 20 hours per week from 1:00 PM to 5:00 PM PST
Position Summary
The Grant Research & Development Assistant will be responsible for identifying, organizing, and drafting grant opportunities that align with organizational goals and priorities. This role manages the end-to-end pre-submission process—including research, drafting, data gathering, and internal coordination—while ensuring grant requirements and deadlines are met. The position also involves maintaining accurate grant tracking systems, supporting post-award documentation, and contributing to donor communication efforts as needed.
Key Responsibilities
1. Grant Research & Pipeline Development
- Conduct ongoing research of funding opportunities (government, private, corporate, and philanthropic).
- Use platforms such as Instrumentl, GrantStation, Candid, and Foundation Directory Online to source relevant RFPs.
- Maintain an organized pipeline of current, upcoming, and recurring opportunities aligned with organizational programs.
- Evaluate eligibility requirements, deadlines, and feasibility, flagging high-priority opportunities for consideration.
2. Proposal Writing & Documentation
- Draft key components of grant applications, including narratives, logic models, organizational summaries, letters of intent, and appendices.
- Coordinate with internal stakeholders (program, finance, leadership) to gather required data such as budgets, program statistics, and staff bios.
- Adapt templates and boilerplate language to funder-specific requirements while ensuring accuracy and alignment.
- Maintain a centralized grant resource library with approved templates and frequently used content.
3. Portal & Compliance Management
- Manage and maintain grant submission portals and accounts (e.g., Grants.gov, JustGrants, SAM.gov, state and private funder portals).
- Ensure all organizational registrations, profiles, and certifications remain current and active.
- Securely organize and track grant credentials and access using approved systems.
4. Internal Coordination & Collaboration
- Partner with leadership and program staff to confirm each grant aligns with capacity, staffing, and program deliverables.
- Maintain a Grant Coordination Calendar with milestones, review deadlines, and submission dates.
- Communicate data requests or program details early to ensure timely preparation and submission.
5. Grant Tracking, Evaluation & Reporting Support
- Maintain a comprehensive grant tracker with real-time updates on submissions, statuses, awards, and reporting deadlines.
- Track and analyze application trends, including success rates and reasons for wins/losses.
- Prepare reporting outlines and checklists in collaboration with finance and program staff for awarded grants.
- Develop summary reports and dashboards for leadership and board updates.
6. Donor & Partnership Support (Optional, if role expands)
- Research funders’ priorities, past grantees, and leadership teams.
- Assist with relationship mapping, pre-award engagement, or light prospect preparation.
- Support fundraising or outreach teams with background materials, pitch decks, and donor engagement planning.
Requirements
- Background in grant writing, development, or nonprofit fundraising.
- Strong research and analytical skills with attention to detail.
- Excellent written communication skills with ability to adapt content for different audiences.
- Familiarity with grant databases and funding research tools.
- Proficiency with document management and collaboration tools (e.g., Google Workspace, Airtable, or similar).
- Strong organizational skills to manage multiple deadlines simultaneously.
- Ability to work collaboratively across teams and maintain accuracy under pressure.
