Job Description:
You’ll be the first voice customers hear when their HVAC systems fail or when they need service appointments. This isn’t just answering phones – you’re solving problems, calming frustrated homeowners dealing with broken heating or cooling systems, and ensuring every customer feels heard and helped. You’ll work directly with their CRM system to schedule appointments and manage the full customer journey from initial contact to service completion.
Responsibilities:
- Answer incoming calls from customers requesting HVAC service and installations
- Schedule appointments efficiently through the company’s CRM system
- Handle upset customers professionally when dealing with system failures or warranty issues
- Manage customer inquiries with empathy, especially during heating/cooling emergencies
- Maintain accurate customer records and appointment scheduling in the CRM
- Perform general administrative duties to support daily operations
- Provide exceptional service that turns frustrated callers into satisfied customers
- Coordinate with field technicians and management on scheduling and customer needs
Requirements:
- Previous receptionist or customer service experience, preferably in home services or similar industries
- Strong communication skills with ability to remain calm under pressure
- Experience working with CRM systems and appointment scheduling software
- Exceptional emotional intelligence for handling difficult customer situations
- Ability to multitask between phone calls and administrative duties
- Bonus if you have experience in construction, HVAC, or home improvement industries
- It helps if you’re comfortable with technology and learning new systems quickly
