Executive Assistant for Founders

Overview

We are seeking a highly organized and proactive Executive Assistant to support senior management with daily operations, calendar management, travel coordination, and administrative tasks. The ideal candidate thrives in a fast-paced environment, manages multiple priorities, and ensures smooth communication across departments while maintaining confidentiality.


Job Highlights
Schedule: Full-time, Monday to Friday (flexible as needed)
Work Arrangement: Work from home / Hybrid (depending on client)
Contract: Independent Contractor

Side Note:
As this is a permanent work-from-home Independent Contractor role, candidates must have their own computer and reliable internet connection, handle their own taxes and benefits, and will be compensated based on hourly rates, which may depend on experience and performance.


Responsibilities

  • Assist with daily calendar management, task scheduling, and email correspondence

  • Coordinate travel logistics and arrangements

  • Conduct online research and compile email summaries based on findings

  • Prioritize tasks for various teams, monitor progress, and provide regular updates to senior management

  • Assist with expense reconciliation, financial tracking, and bank account oversight

  • Handle office administrative tasks as directed and necessary

  • Manage and organize internal documents, promotional materials, and digital folder structures

  • Act as a liaison between the executive and other departments to ensure smooth communication and prompt resolution of requests

  • Check on expense management, tax-related matters, and any administrative tasks as needed


Requirements

  • Exceptional attention to detail and organizational skills

  • Outstanding written and verbal communication proficiency

  • Minimum 3 years of experience in an executive assistant role

  • Proficiency in MS Office Suite, especially Excel and Outlook

  • Ability to adapt and thrive in a fast-paced environment


Highly Regarded Skills and Experience

  • Prior experience or strong interest in the healthcare industry

  • Experience in bookkeeping or financial management

  • Experience in managerial roles, particularly in operations, marketing, or HR

  • Familiarity with advanced scheduling and project management tools

  • Proven ability to handle sensitive and confidential information with discretion
